Privacy Policy

This Privacy Policy explains how Foreman AI (“we”, “us”) collects, uses, and protects personal information when you use foremanbooks.com and the Foreman service. It covers both our customers (the businesses who sign up) and the end-customers whose information those businesses store in Foreman.
Information we collect
- Account data: your name, email, business details, and login credentials.
- Workspace content: contacts, call recordings and transcripts, bookings, deals, notes, and files you add.
- Billing data: subscription, credit, and payment records. Card details are handled by Stripe — we never store full card numbers.
- Usage and device data: log data, IP address, and analytics used to operate and secure the Service.
How we use it
- To provide the Service — run AI agents, place/receive calls, store CRM data, process payments.
- To secure the platform, prevent abuse, and meet legal obligations.
- To support you and improve features. We do not sell your personal data.
Sub-processors we share data with
We share data only with vendors that help us run the Service, under contract, including: payment processing (Stripe), telephony and voice AI providers, cloud hosting and database (Supabase / Vercel), and email delivery. Each processes data only on our instructions.
Administrative access to workspaces
To provide support, investigate security issues, and maintain the Service, a small number of authorized Foreman staff (“super-admins”) may access a customer workspace. This access is:
- Restricted to authorized personnel and protected by authentication (and multi-factor authentication where enforced);
- Audit-logged — every entry into a workspace and the actions taken are recorded with the staff member’s identity and time;
- Used only for support, security, legal compliance, or maintenance — never to access your data for unrelated purposes; and
- Indicated by a visible banner while a staff member is operating inside a workspace.
By using the Service you acknowledge this operational access, which is a standard part of running a hosted SaaS platform and is a condition of our providing the Service to you.
Call recordings and consent
Foreman can record and transcribe calls. You are responsible for providing any notice or obtaining any consent required where you and your callers are located. We process recordings on your behalf as described in our Data Processing Addendum.
Data retention and storage
We retain workspace data for as long as your account is active and as needed to provide the Service, then for a reasonable period afterward unless you request earlier deletion. Billing records are kept as required by law. Data is stored on infrastructure located in the United States.
Your rights
Depending on your location (e.g. GDPR, CCPA), you may have rights to access, correct, export, or delete personal data, and to object to certain processing. End-customers should contact the business that stores their data; we will assist that business as its processor. To exercise rights with us directly, email privacy@foremanbooks.com.
Security
We protect data with encryption in transit, access controls, tenant isolation, and audit logging. No system is perfectly secure, but we work to safeguard your information and will notify you of material breaches as required by law.
